Ok, I've been thinking more about the possibilities of gatherings and dug up some forms that the SCA uses to help protect itself. So, I thought I'd post a blank variation of them here for reference.

Consent to Participate and Release of Liability
I, the undersigned, do hereby state that I wish to participate in activities sponsored by (name of group), an unincorporated group of individuals.
The (name of group) nor (name of organizer), Organizer of this Event, make no reporesentations or claims as to the condition or safety of the land, structures, or surroundings, whether or not owned, leased, operated, or maintained by (name of group) or (name of organizer).
I understand that all activities are voluntary and that I do not have to participate unless I choose to do so. I understand that these activities are potentially dangers and/or harmful to my person and/or property, and that by participating I voluntarily accept and assume the risk of injury to myself and/or damage to my property.
I understand that (name of group) and/or (name of organizer) do not provide any insurance coverage for my person or my property. I acknowledge that I am responsible for my safety and my own health care needs, and for the protection of my property.
In exchange for allowing me to participate in these activities and events, I agree to release from liability, agree to indemnify, and hold harmless the members of (name of group) and (name of organizer), and any (name of group) agent, officer, or employee acting within the scope of their duties, for any injury to my person and/or damage to my property.
This Release shall be binding upon myself, successors in interest, and/or any person(s) suing on my behalf.
I have read the statements in this document. I agree with its terms and have voluntarily signed it. I understand that this document is complete unto itself and that any oral promises or representations made to me concerning this document and/ir uts terns are not binding upon (name of group, its officers, agents, and/or employees, or (name of organizer0.
This Release shall remain effective until December 31, 20____.

For the above, it's recommended to keep it for at least 7 years... just in case someone decides down the road that they want to sue you.
I'm not sure about other states, but I know that in Texas that simply by having someone sign a contract, the Judge has no choice but to follow through with the agreement in the contract. Having them get it notarized before they bring it to you just helps you up if you have to go to court.
In a little while, I'll try and get one up in case parents allow their minors to go on their own, but I actually hope that wouldn't be the case with any gatherings.

The release form that Aimee provides covers most of that anyway. And minors are required to have a parental permission form.

Yeah, but if it isn't an official gathering thingy, then I don't believe that it is covered by the JRC policy. Or, am I wrong?

Yeah, but if it isn't an official gathering thingy, then I don't believe that it is covered by the JRC policy. Or, am I wrong? No, you're right. But it doesn't take much to be an "official gathering thingy" .
